We are now seeking a proactive, detail-oriented Order Desk Clerk (also known as Deal Desk Support) to join our dynamic team and play a crucial role in supporting our Sales and Key Account teams.
Role Overview
The Order Desk Clerk will be a key part of our Sales Operations function, ensuring smooth, accurate, and timely processing of all customer contracts and associated documentation. You will work closely with the Sales team to generate order forms, manage approvals, and maintain our contract management system to the highest standards of accuracy.

Key Responsibilities
- Contract and Document Management / Preparation / Approval:
- Order Form Creation and Management
- Generate renewal order forms 30 days prior to renewal date.
- Proactively send renewal order forms to Sales and Key Account Directors for review and customer delivery.
- Create new order forms and supporting documentation packs based on pricing and deal specifics provided by Sales.
- Ensure order forms are submitted through the internal approval process and stamped with necessary authorisations.
- Load approved documents into the e-signature platform (e.g., DocuSign, PandaDoc) and distribute to customers for execution.
- Manage incoming MNDA (Mutual Non-Disclosure Agreement) requests; prepare and distribute MNDA documents for signature.
- Ensure all fully executed contracts and order forms are accurately filed and stored in the designated document management systems.
- Maintain a contract management database by capturing key details from newly signed orders and historical contracts.
- Support audit and compliance activities by ensuring contracts are consistently maintained and easily accessible.
- Cross-functional Collaboration
- Liaise with Legal, Finance, and Customer Success teams to ensure contract compliance and accuracy.
- Collaborate with the Sales Operations team to improve order processes, workflows, and documentation templates.
- Identify process bottlenecks and recommend improvements to enhance deal velocity and efficiency.
- Participate in the rollout of new tools and systems related to sales operations and contract management.
Skills Knowledge and Expertise
- Previous experience in a Sales Operations, Deal Desk, Contract Administration, or Order Management role (preferably within a SaaS or technology company).
- Excellent organisational skills with strong attention to detail.
- Familiarity with CRM platforms (e.g., Salesforce) and e-signature tools (e.g., DocuSign, Adobe Sign, PandaDoc).
- Understanding of contract management processes and legal terminology (especially relating to SaaS agreements) is a plus.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong communication skills, both written and verbal, and the ability to work cross-functionally.
- Proactive and self-motivated with a customer-first mindset.
- High degree of confidentiality, professionalism, and discretion when handling sensitive information.
Desirable Attributes
- Experience working with SaaS contract structures (e.g., subscriptions, renewals, amendments).
- Familiarity with GDPR and other relevant compliance frameworks related to contract management.
- Basic understanding of pricing models, discounting structures, and revenue recognition principles.
